The first 90 days as an Executive Assistant

Build trust, decision rights and a stable executive-office system without changing everything before you understand it.

01

Days 1–30: learn the operating system

Your first task is not to demonstrate how much you can change. It is to understand how decisions, information and relationships currently move. Observe the executive’s priorities, communication style and failure points.

  • Stakeholder map
  • Annual and monthly calendar
  • Recurring governance forums
  • Decision and delegation boundaries
  • Confidential information controls
  • Known pressure periods

02

Days 31–60: stabilise and clarify

Introduce improvements only where the problem is clear. Create one reliable source for actions, agree diary principles and establish a brief weekly operating conversation with the executive.

Rather than reorganising the entire inbox, first agree which senders, issues and deadlines require immediate escalation and document the rule.

03

Days 61–90: improve with evidence

Once trust and context exist, address recurring friction. Measure a small number of useful outcomes such as overdue actions, meeting preparation time, avoidable schedule changes or stakeholder response delays.

  • One workflow improved
  • One risk control strengthened
  • One executive preference documented
  • One stakeholder relationship repaired or clarified

04

Review the partnership

At 90 days, ask what the executive wants more of, less of and handled differently. Confirm priorities for the next quarter and any authority that can now be delegated.
